ATLANTA JUNG SOCIETY BOARD MEETING

3:09 PM Meeting called to order (Z)

  1. We welcomed Aja Snyder to the board as Publicity Chair.
  2. Z lit a candle for the hurricane victims, Robert Johnson, and Marion Woodman
  3. Z read a blessing by John O’Donohue.

MEMBERSHIP DATA BASE (Jennifer)

  1. Jennifer said that starting this weekend, buying new memberships will break even with the price of the upcoming lectures.  So we will focus on renewals and buying new memberships for next year.
  2. The board agreed to keep full membership prices and not offer a discounted rate this year.
  3. Don agreed to print renewal letters and bring them to the next meeting, and either Cathy, Z, or Jennifer will stamp them.

HOSPITALITY (Mahshid)

  1. Mahshid had nothing to report.
  2. Board agreed that the next lecture would probably be large, so we should have plenty of food.

BOOK SALES (Bill, Bob, & Deb)

  1. Bill said we have an Ingram account now, so we can order wholesale.  Their selection is a little limited, but he did order a couple basics.
  2. Deborah suggested making sure we have enough of Hollis’ books for the December meeting.

MEDIA/ SOCIAL MEDIA (Bill)

  1. Facebook denied boosting the ad on Buser because it was political.  Perhaps the rule will change, and Bill will try again with Facebook in January when Buser is here.
  2. Z asked for Bill and Aja to connect.  They agreed to do so once schedules allow.

TREASURER’S REPORT (Don)

  1. First three pages are budget vs. actual currently.  We have lost $10, 681.  This may be due in part to not having an October meeting.
  2. Don asked why the Book Income is about the same as the Book Expenses.  Bob suggested it may be because we have so many discounted books.
  3. Publicity, due to the Book Fair, is about $1,000 over.
    1. Jennifer suggested including this money in the budget for next year.  Don said this would be discussed at the Board Meeting in January.
  4. Bill asked about CEU Expenses and the Brochure Mailings.  Van spoke to the CEU dynamics, and Don spoke to the Brochure Mailings.  Cathy suggested both these topics could be covered in closer detail at the January board meeting.
  5. Vanguard Current Balance: $50,588.50
  6. Checking Bank Balance: $3,559.77
  7. Treasurer’s report was approved.

FRONT DESK REGISTRATION (Jennifer & Peggy)

  1. Coverage for upcoming meetings:
    1. October: Jennifer, Jayden, Karen and McAllison will not be there.  Z, Aja, Cathy, and Van (who will check off pre-registered) said they could help Friday.  Z, Cathy, and Aja are there for Saturday.
    2. Jennifer, Karen, and McAllison will be back and are able to volunteer for November and December.

NEW BUSINESS- Part 1

  1. In the by-laws, every position can only be held for two years.  Cathy reported that for the past several years, we have had issues with our treasurer.  Deborah talked to other Jung Societies, and many of them hire a Treasurer as they have had a similar issue.  (It’s not an elected position).
  2. We need to change the wording of the by-laws.  A business meeting will be conducted and membership will vote on changing the by-laws to:

Article 4 Officers Section 1 (as it currently reads): The elective offices shall be President, Vice President, Secretary, and Treasurer.

Proposed New Section 1: The elective offices shall be President, Vice President, and Secretary. Section 1 a: The Treasurer will be appointed by the executive board.

NEWSLETTER/ WEB (Don)

  1. Van submitted an article on Marion Woodman.
  2. Cathy is going to get an article on Robert Johnson.
  3. Jutta had originally signed up, but is no longer able.
  4. Bill suggested asking Buser.  Deborah will ask Buser and Tarnas.
  5. Jennifer reminded Don she has sent him articles.  Don will look at those.

PUBLICITY (Cathy)

  1. Festival follow-up discussion:
    1. Jennifer said the festival went well.  They touched a minimum of 500 people with bookmarks.
    2. Aja agreed to send out a welcome email to the email addresses that we got.
    3. Jennifer said she hopes to do this again next year and to participate in other festivals.   
  2. Decatur Book Festival Exposure- what worked/ what didn’t
    1. Jennifer suggested we get a table cloth that covers the whole table
  3. Shall we do it again next year?

NEW BUSINESS- Part 2

  1. Fees: The Board agreed to keep the membership, lecture, and workshop fees the same as last year.  Unanimously passed.
  2. Apparel
    1. Jennifer is making a Jung Society hoodie.  She welcomed others to get one, if they want one.
    2. T-Shirts: We will sell the extra shirts at our next meeting.
    3. Aja said we could print logos on different items and then sell them at meetings.

APPROVAL OF JULY BOARD MEETING MINUTES

  1. Don asked that it be added that he was agreeable to staying on as Treasurer provided the bylaws were changed.  Cathy suggested the Nominating Committee meet first and then if needed, the bylaws can be changed.   
  2. Minutes were approved.

2:07 PM Meeting called to order (Z)

APPROVAL OF APRIL BOARD MEETING MINUTES

  1. Deborah asked Tutta be corrected to Tootie.
  2. Deborah noted that on pg. 2., she did not agree to research options.  This was taken out and replaced with Don.
  3. Minutes were approved.

TREASURER’S REPORT (Don)

  1. A few notes:
    1. Don said we are “pretty much” on budget at this time.  We are a little under on income, which is typical for us.  Bottom line- we lost less money than we expected to lose.
    2. Item 3100 Annual Dues- “We made a little more than we budgeted, but not much.”
    3. Profit and loss by event – In February, we lost $2,865 on David Solem (attendance was 50 at the lecture and 26 for the workshop).
    4. Rebalanced Vanguard to have equal amount in Bonds and Stocks.
    5. Balance is $3,689.57 in the checking account.
  2. Newsletter – Don confirmed he gets paid $400 per newsletter.  Board approved.
  3. Don shared that QuickBooks went up on their fees (~$600/year) for the online version.  Jennifer suggested Zoho, but Don said that Zoho has bad reviews.  We decided to keep QuickBooks.
  4. Treasurer’s report was approved.

FRONT DESK REGISTRATION (Jennifer & Peggy)

  1. Jennifer said the bookmarks have been helpful in selling memberships.  It was that we want 200 more printed for the front desk for the rest of the year.  Don said it is not difficult to print more.
  2. Peggy said one lady said she had registered online, but she was not on the list.  Don said the woman told she had mailed the check in April.  Both Don and Bill confirmed that they never received the check.  Z said she would call the lady to convey this information.
  3. In October, Jennifer, Jayden, Karen, and McAllison will also not be there for the lecture.  Cathy, Peggy, and Bill will be at the front desk in October.  Jennifer will be there for the workshop.

  1. Cathy asked for suggestions on topics for the next year:
  • Jennifer talked about her friend, David Bedrick, who does some work around shame.
  • Don suggested Kelly Buckley, Ashok Bedi, Monika Wikman, Jacqueline West, Jerry Ruhl
  • Karen suggested The Red Book and maybe having Becca Tarnas also do something on Astrology.  Also, something on mythology.  A professor at Pacifica, Craig Chalquist, recently did a book Myths Among Us.
  • Deb suggested dreams as a topic.  Don suggested an Intro to Dreams since we have a lot of new people.
  • Bud Harris has a new book out on the election.  Deborah shared that he is not a good speaker.
  • Jennifer suggested something on the Enneagram (Rev. Jill Ulrici).
  • Deb said something with the Eastern mindset (yoga).

ATTENDANCE (Don)

  1. Don passed out the attendance sheet.  Jerry Wright had 97 people in attendance at the lecture last night.
  2. Z brought up that after the survey last night, the timing of the workshops did not seem to be affecting attendance.  So we will keep the workshops as is.

BOOK SALES (Bill, Bob, & Deb)

  1. Bill said we sold out of Jerry Wright’s book last night.
  2. Inventory- Bill said only a few CDs are left.   Deborah suggested having more books by the speaker for future events.  Deborah said she would email Bill a contact for the publisher.

PUBLICITY (Cathy)

  1. Cathy said she is trying to get Catherine Meeks on NPR.   
  2. Festival: Labor Day weekend (Saturday, September 1 10 AM- 6 PM and Sunday, September 2 noon- 6 pm).  We were given booth 515.  Cathy handed out the email with the rules, which are very strict.  We can only give stuff away from the booth.
    1. How many books and what books do we want to sell?
      1. Suggestions: The Reader’s Edition of Red Book, Memories, Dreams, and Reflections, Steve Buser’s book, a Hollis book, Robert Johnson’s book Inner work, Chiron did a book/a compilation on Robert Johnson, The $5 primer, a Campbell book, Finding Meaning in the Second Half of Life, some books on symbols and dreams, a couple books on myths
    2. Jennifer suggested making a banner for the inside (to go around the 8-foot table) which includes a Red Book picture, a dream or shadow quote, and our motto Seeking a more conscious life.
    3. Wi-Fi: We no longer have a hot-spot.   Don reminded us we can download the app on our phones.  Karen agreed to help volunteers download this on their phone.
    4. Giveaways:
      1. Cathy suggested giving away a bookmark with a quote and picture then having the dates to the upcoming events on the back.
      2. Peggy suggested Mandalas from a coloring book to hand out to children
      3. Newsletters
      4. Don will print 500 postcards for the October event and do some printed versions of the Jung brochure
    5. Cathy suggested having a shirt for the volunteers.
    6. Cathy will ask if we can sell memberships.
    7. We can do a raffle for a membership or for a book.    
    8. Volunteers: 7:45 AM-10AM set up on Saturday.  Z, Jennifer agreed to volunteer the whole time, she also volunteered Jayden, Cathy, Mahshid, Deb (Sunday 12-3 PM), Deborah said if she would volunteer if she is in town.  Karen will be out of town.
    9. Jennifer agreed to use her house as a place to store things between nights.
    10. At the next meeting, we are going to have to pack up the books we want to take to the festival.

Because of a limit on time, we skipped Media/Social Media/ Facebook, Membership Data Base, Newsletter/Web, and Hospitality.  We went onto New Business.

NEW BUSINESS

  1. With Lazo having retired, we can pick up some duties and have the cost be reduced.  Deborah said we pay by the hour for the facility then an additional $100 for A/V.  The first hour for Dunlap Hall is $75.  Each additional hour is $35.  We have a discount for the projector and microphone ($100 total).  Right now, we are paying $350 for each Saturday night.  It’s $500 for a workshop.  If we do our own set up (tables, chairs, and coffee), we could save $70.  The Board agreed to keep paying the $350 to have the church do the set up.
  2. Deborah will ask the church what supplies they have for coffee and if we can have a larger container for hot water.
  3. The Nominating Committee fulfills the roles of President, Vice President, Secretary, and Treasurer.  Z will present the committee in September at the meeting.  They are voted on in November.  Cathy volunteered to stay on.  Deb and Jennifer agreed to join.

APPROVAL OF JANUARY BOARD MEETING MINUTES

  1. Deborah asked about Don on pg. 2- Cathy clarified it was Don Tyner
  2. A couple titles were missing: August- Ida B Wells, Mary McCloud Bethune, Malissa Alberta Jackson Meeks: Desolation, Invention and Bearing Witness to Hope and September- Contemporary Dream Theory and Understanding – Freud, Jung, Bion, and Beyond
  3. December- one night lodging not two
  4. Minutes were approved with these corrections.

TREASURER’S REPORT (Don)

  1. Budget is done through April to give us an idea of how we are doing
  2. Cathy noted we are ahead of budget with dues.
  3. Don noted we are down $1, 379 for 3300 Event Fee and down $1, 375 overall.
  4. We have spent a little less for expenses then what we have budgeted.  
  5. Don mentioned postcards are a major expense ~$1,000 per event.  He would like to pare down the mailing list by 300.  This must be done through QuickBooks and would take some time.  Bill did not know of anyone.  Cathy said she would ask someone she knows who works with QuickBooks.
  6. Vanguard has stayed around the same balance for the past year.  Don said he should probably move some things around, but is not well schooled on bonds.
  7. Treasurer’s report was approved.

FRONT DESK REGISTRATION (Jennifer)

  1. Jennifer and Jayden are planning to be at all the upcoming events.  Karen and McAllison will also be present.  Jennifer and Jayden will not be there the Friday night in October (it’s Jayden’s birthday )  Karen and Mcallison will also not be there in October (She will be at school).
  2. Deborah noted there were will be no charge for this upcoming meeting.  However, getting names and emails of non-members could be helpful.
  3. Don asked front desk members be sure to make sure people who say they are members are in fact members.

PROGRAMS (Deborah & Cathy)

    The 10 Gifts from Jung to Help a Crazy Time, Jack and Helen Graham

Mahshid cannot be there.  Cathy has volunteered to do hospitality.  If others are willing to help, reach out to Cathy.

Deborah shared how the Charleston Jung Society sat at card tables for the meeting.  They do a social hour before the meeting with wine and hors d’oeuvres.  Deborah suggested this could be fun to do one meeting.  Z brought up liability being an issue.  Deborah said she would ask Charleston about how to do this.  Z said she would check on the liability.

Deborah asked about making more bookmarks.  We agreed this would be a good idea to do for the programs for the rest of the year.  We will have 200 more made.

Cathy will ask Jack if he wants a formal introduction.  If he does, she volunteered to do it.

  1. Workshop Discussion- Do we need four a year?  Or would we want to do shorter ones?

We used to do 3 workshops plus the retreat.

  • Feedback: Karen said she enjoys the workshops.  Jennifer said she enjoys it when they are workshops, not lectures.  Deborah said she always requests for experiential elements, but sometimes the speakers don’t actually do this.
  • Karen suggested doing 2 shorter workshops (9 AM-1 PM) and 2 longer ones.  Don suggested this could be good since we would have a new data point to see if this affected people’s attendance.  Deborah said we would try this next year.
  • The group was interested in having Steve Buser do a lecture and workshop.
  • Jennifer said David Bedrick in Santa Fe, NM would also be a good choice for a workshop.
  1. Sound Glitches- any way to make this not so much of a wild card? Becca used the earpiece, which worked better than all the ones before.  Don said the sound is as good as it is going to get.
  • Don is recording, but he stopped selling them online because no one was buying.
  1. Computer- PowerPoint and Images- Cathy asked- should we purchase a computer?  The problem seems to be that speakers don’t know how to hook their computers up to the projector.
  • Deborah shared that David Solem had shared the Jung Society in New Mexico has their own computer.  This allows for consistency.
  • Bill and Deborah agreed to research options.

BOOK SALES (Deb and Bill)

  1. Deb asked about Book Expenses on the treasurer report ($1, 240).  Deb shared that she attempted to make some purchases in December, but the sale did not go through until January.  She clarified that she did not need to be concerned about the budget.  Don agreed and said they can buy as much as they want, if they are selling.
  2. Inventory- Bill shared that there are books that haven’t moved in a while.  Those may be worth discounting.  Chiron recently sent some books that were overstocked.  Bill is going to sell those at the next events. We sold out of The Red Book readers at Becca Tarnas’ event.  We are going to re-stock these as soon as they are back in print.  Deb suggested we check with Chiron.
  3. Cathy asked if we have any books at home.  No one said yes.  Bill does have some CDs at home that he will bring in since the CD stock is now lower.
  4. Bill asked if we could get some new storage crates.  The ones we have are cracked.  On Amazon, you can get 6 for $130.  The board agreed for Bill to purchase these.
  5. Deb asked for Bill’s help in purchasing books.  Bill asked that Deb send her an email with a list of books she’s interested in buying.  Deborah, Z, and Karen expressed interest in the Toni Wolff and C.G. Jung book.  Deborah suggested getting 25 of Jerry Wright’s book if we can return the books.
  6. Catherine Meeks edited a book that is on Amazon.  Bill asked Deborah if she could ask if she has a connection with Morehouse and if we could get the books at a discounted rate.

MEDIA/ SOCIAL MEDIA/ FACEBOOK (Bill)

  1. Jennifer shared that when she asks, people say they heard of JSA through Facebook.  Bill suggested boosting it from $35 to $45 to see if that would have an effect.  The board took a vote and unaminously agreed to do this.    
  2. Bill talked about Amazon Smile.  It’s set up for charities.  Don said that JSA has an account with Amazon.  Bill found JSA on Amazon Smile.  Don is going to look into this and advertise this in the newsletter.

ATTENDANCE (Don)

  1. Don passed out the attendance sheet.  Karen noted that we are doing as well or better than last year.  Deborah reminded the board that this April makes it a year since we have been meeting at the new space.

NEWSLETTER/WEB (Don)

  1. Don shared that he got some feedback from his email.  Jennifer offered doing an article.  Cathy suggested asking our upcoming speakers.  Deborah said she would ask them.
  2. Deb offered to do a music review on 2 CDs (John Prine “The Tree of Forgiveness” and Willie Nelson “Last Man Standing”).

   

PUBLICITY (Cathy)

  1. Cathy expressed difficulty with putting out postcards.  They are too big.  They are also very expensive.
  2. Cathy sent info on Becca and Honora to NPR.  Nothing has materialized.  She is also going to send info on Catherine Meeks.
  3. Deborah suggested advertising this next event on Atlanta Planit.  They do some advertising on the radio.  Cathy said she is not sure how to do this without paying a lot of money ($6,000/month).
  4. Cathy put our name in to do the Georgia Public Television telethon.
  5. Cathy asked for suggestions on where to advertise.  Bill suggested she look into Hometown News.  Jennifer suggested the book fair in Decatur over Memorial Day Weekend.

HOSPITALITY

  1. Deborah asked for more variety with the things that are brought.  Z said she would follow up with Mahshid on this.
  2. Jennifer offered to bring homemade food for this next meeting.  Jennifer: Email Cathy with what you are willing to bring.

NEW BUSINESS

  1. Survey: Cathy asked if we would want to do a survey for this next meeting.  Don said he is interested in two things: asking about referral source and asking if a 9AM-1PM workshop would make any difference.  Cathy said we could also do raised hands beforehand.
  2. Policy for when people want their money back: Z shared this woman was upset because David Solem didn’t show the movie.  We gave the money back as a one-time thing.
  3. New Volunteer, Jay, who is helping with nametags.   He is a member.  Friday, Jay can get in free.  Saturday he has to pay.

ATLANTA JUNG SOCIETY ANNUAL BOARD MEETING

Date and Time:  Sunday January 28, 2018 1-6 PM

Location:  Cathy Shepherd’s House

1:25 PM Meeting called to order

  1. Z brought an image to start the meeting
  2. We did a team building exercise, drew archetype cards, and participated in a ritual.

Archetypes cards that were drawn: Gossip (Z), Companion (Deb), Gambler (Deborah), Addict (Bill), Storyteller (Mahshid), Warrior (Van), Prince (Peggy), Alchemist (Karen), Trickster (Bob), and Goddess (Cathy)

APPROVAL OF OCTOBER BOARD MEETING MINUTES (Karen)

  1. Deborah asked that we add: “Motion passed to have separate prices for the lecture and workshop.”
  2. Minutes were approved.

TREASURER’S REPORT (Don)

  1. Don hi-lighted a couple things on the Budget report:
    1. There were 126 renewals at the end of 2017.
    2. We made budget for Hollis.
    3. JSA made $4,844 on books last year.  Don proposed that this is a good reason to keep books for 2018.
    4. Media sales will be close to 0 in 2018.
    5. The final newsletter was not sent in 2017.  So only three were printed in 2017.  There are normally four.
    6. Publicity we spent $455 on Social Media (for Meet Up and Facebook).
    7. 8420- Accounting- We had planned to outsource this, but did not.
    8. We ended with a $837 net income.  In the black!!
  2. Total in Vanguard: $41,546.73 and total in Wells Fargo Account $21,012
  3. Treasurer’s report was approved.

BUDGET (Don)

  1. Don hi-lighted a few things on the report:
    1. He estimated 60 or so new members to come up with the expected income for dues.
    2. Estimated $3,190 for event fee income for February, April, and October.  Don asked if he should bring this down.  We agreed to leave it as is.
    3. Don noticed he forgot to add an item if he wanted to outsource the Accounting (8420).  We agreed to budget $1,200.
      1. Cathy suggested Don could help with treasurer duties.
  2. Budget report was approved.  Amendments may be added throughout the meeting.
  3. Don will add Budget item for Meet Up expense

FRONT DESK REGISTRATION (Peggy)

  1. Good coverage for the past few meetings.
  2. February volunteers for front desk: Karen, McAllison, Van for CEUs, and Cathy if needed
  3. Check to see if Jayden and Jennifer are available

  1. Deborah asked if we should increase the fees per event.  We voted against this and will keep it the same for now.

PUBLICITY (Cathy)

  1. Cathy took over sending everything to the Council of Churches.  She has also sent letters to St. Phillips and other churches around the area.
  2. Cathy asked if Bill could talk to Honora to send the March and April info to the Mythic Imagination Institute.
  3. Cathy said NPR charges $2,000/year to put our name on the Atlanta Planet site.  Four times a year, we could get a visual.
  4. Cathy is going to look into the Georgia Public Television telethon.  We could wear Jung t-shirts to advertise.
  5. We have a new member who is a graphic artist.  Cathy asked him to create a logo, and he did.  We may try to have him rework it with a butterfly.

BOOKS AND CD’s (Deb)

  1. Deb said they are in the process of handing these tasks over to Bill Bridges.
  2. Deb spoke to Chiron.  They are now giving us a 40% discount.
  3. Deborah said she would email Deb Steve’s information for the books.  He had said to call his office number with a message of what we want. 
  4. Order Jerry Wright ‘s new book, Reimagining God and Religion (Available Feb 1)
  5. Bill will do an inventory of the books next meeting.

MEDIA/ SOCIAL MEDIA/ FACEBOOK (Bill)

  1. Bill is taking over the purchasing of media and books.
  2. Bill asked this be added to the same section as Books and CDs.  Don agreed we could do this.
  3. Van showed the WWJD (What Would Jung Do?) T-shirts.  She will ask the man she got the shirts from how we could advertise these at the meeting.
  4. Don will email Bill the image so he can then advertise on Facebook and Meet Up.

NEWSLETTER/ WEB (Don)

  1. Deborah suggested that that with help from Jennifer, Karen, and Bill, we will pair down the newsletter and do it three times a year. We voted to pass this motion.
  2. Don said he would try to get the newsletter out in the next two weeks.
  3. Karen will reach out to Jennifer to ask if she would be willing to volunteer to help with this.

NAME TAGS

  1. Peggy volunteered to bring the plastic cases for the name tags.
  2. Cathy suggested writing on the white board at the front desk to tell people if they join tonight, they will have a name tag for March.
  3. We agreed to make new name tags for 2018 after the February meeting.
  4. Don showed the label maker he has, and we can make name tags as needed.

ADVISORY BOARD (Cathy)

  1. Cathy asked if we need to look at moving people off.  No response.
  2. Jeremy, who is deceased, was taken off.

JUNG PHONE LINE (Deb)

  1. Deb reported feeling afraid that things were “falling through the cracks” on the day of the lectures.  Don assured her that he was very aware of emails and phone calls on the day of, so this was taken care of.

MAILBOX

  1. Cathy reports that this is now $107 for three months.  Cathy said we could go smaller for $99 for three months or smaller for $56 for three months.
  2. Don said we have to have a mailing address for a non-profit.  He also mentioned that our address has been the same for a long time, and its in numerous places, so it would be difficult to change it.
  3. We passed keeping the same mailbox.

VOLUNTEERS (Z)

  1. Z suggested that we ask for volunteers at our next group meeting.  Board agreed.  We came up with a list of potential tasks: packing and unpacking books, name tags, front desk, library, drop off postcards, and newsletter.

HOSPITALITY (Mahshid)

  1. Things have been going well.  Mahshid needs to check her calendar to see what dates she is going to be available this year.  Z offered to keep texting.

LIBRARY (Peggy)

  1. Many books are out.  We need to go over there and call people who have overdue books.
  2. Future needs: Someone to do the computer at the library

OLD BUSINESS (Don)

  1. Don is still looking at ways to improve the online instructions to download audio to the phone.
