Board Meeting
- Cathy called the meeting to order at 2:05 pm.
- Cathy thanked Nyambura for introducing Jutta at the lecture yesterday, and thanked the other board members for showing up and helping out at the event.
- Nyambura asked whether there were any changes to be made to the previous minutes from 4/14/19. Board members said there were no changes. Z made a motion to approve the minutes for 4/14/19, Peggy seconded. All were in favor. April minutes were approved with no changes.
Budget: Don
- Don reported that membership is good but everything else looks bad; he added that he did not budget the Decatur Book Festival.
- We have a negative balance and we’re not making as much on books as expected. Perhaps we’re not getting as many discounts on books as we used to? Don felt that the $1000 donation to The Link contributed to the loss.
- Bill said we’re getting 40% discount on books, but we may have too much stock, and perhaps shipping costs are also to blame. Bill said he returned Trump books because they didn’t sell.
- Deb said we’re selling the I Ching books and coins at a good profit.
- Don said we lost money due to lack of income from workshops, e.g. we expected more from the Tarnas workshop.
- Don said we may have to revisit what we pay our speakers since that hasn’t been reviewed in a while.
- Don said we pay about $650 per year for Quickbooks, which is costly, but it would be a pain to change it.
- Cathy said we could pay a standard stipend to the speakers rather than pay for their travel costs, so as to decrease expenses, e.g. Sharon Martin’s air ticket was expensive because she bought her ticket late.
- JSA’s current account balance $-6,279; Vanguard balance is 52,985.70.
- Deborah made a motion to approve the treasurer’s report. Cathy seconded it. The board approved the treasurer’s report.
Programs: Deborah
- Deborah updated the board on programs for 2019 and 2020.
- Deb Herberger volunteered to introduce Lissa Friedman.
- Jenn will introduce Ashok Bedi. He and his wife will stay at the Sheraton. Deborah clarified that we pay for the expenses for his hotel room and meal but not for his wife, who travels with him.
- Cathy suggested asking volunteers like Regina to introduce speakers. Z said she’ll look into it.
- Aja will introduce Virginia Apperson; Bruce will introduce John Gentile.
- Deborah said several people are asking for Elizabeth Nelson to come back for a workshop on “Shadow Vows”. Bruce said we could create a good description/wording of the event so as to pull people in and get CEUs for it.
- Monika Whitman may come in September; we need possible topics. Deborah will look into her website and will share a write-up with the board.
- Jenn will get a description of the shame workshop from David Bedrick. Cathy said this is a clinical topic so there shouldn’t be a problem with CEUs.
- Cathy asked to have the description of the three speakers’ events (Monika Whitman, Elizabeth Nelson, David Bedrick) so she can email them to the board.
- Cathy said these speakers are coming from the West Coast so travel expenses will be higher.
- Kathleen Wiley is coming in January 2020; she offered to do a small group on Sunday for people who would like to go deeper on the topic of Jungian psychology and the body. We could use The Link as a venue for that event.
- Deborah said speakers for lectures are harder to get than for workshops, and suggested looking into increasing the honorarium, which is currently quite low.
Media/Publicity/Books: Bill (via phone)
- Bill said he will order the Enneagram book when he makes the big order for Decatur Book Festival.
- Bill wondered how to add customers’ emails on the payment transaction so that they can get receipts when they use their credit cards to purchase items; they don’t like to type in their emails each time. Is there a setting that captures their email? Don said he thought it should do so automatically. Jenn said she’ll test it.
Decatur Book Festival: Jenn and Z
- Decatur Book Festival is on Labor Day weekend, Saturday August 31st and Sunday September 1st. Jenn said she has a whole box of books to sell and shared a list of books to purchase for the festival; the budget for just the books is $233.11..
- Jenn asked if we have Pete Williams’ primers, Cathy said we could make copies for the festival. It was decided that 15 copies would suffice.
- Bruce said June Singer’s Boundaries of the Soul and Murray Stein’s Jung’s Map of the Soul are great classics and primers. Bill said he can make sure those are in the selection, but he’s mostly trying to get cheaper books that sell better.
- Jenn said we sold about 23 books last year, which made $370.
- Z and Jenn displayed the tablecloth for the festival, all board members liked and approved it for use at the festival.
- We need to print 100 pages of the Jung Society brochures and 600 bookmarks. Z asked Deborah if she can have the programs for 2020 on the bookmarks, listed by topic and month, since event dates are not all confirmed yet.
- Aja, Jenn, and Z volunteered to be present at the festival. They will purchase a cart ($50) to help them move things around.
- Jenn said the budget for the festival comes up to around $275, including bookmarks, tablecloth, brochure copies, etc. Cathy called for a vote to approve this amount. All members were in favor. Board approved $275 for the festival.
Publicity: Aja
- Aja said she will connect Twitter, Instagram and Facebook accounts so that information posted on one platform appears on all.
- Bill said he boosts Facebook events for $45-$50 for Hollis, but less for other speakers.
- Jenn said Facebook brings the largest number of people to our events but the language we use to advertise our programs can turn people away, e.g. people didn’t like the topic “Toxic Masculinity”. “Fierce Feminine” was a better title.
- Aja and Jenn suggested adjusting the wording/ language of the workshops before posting so as not to turn off potential attendees. Deb suggested that the Web Committee consult together before workshops so as to review descriptions and wording and edit accordingly.
- Bill said he will look at people’s interests, demographics, age, etc. and see what settings could bring in the most number of people to our events.
- Information about Enneagrams could be forwarded to churches or people on Facebook who have listed Enneagram as an interest.
- Aja has set up a trial website: jungatlanta.weebly.com at the cost of $99 per year with the current discount. A 2-year contract at full price is $504 ($21/month). Aja will find out if she can get a non-profit discount.
- Aja said this new website has a lot of capabilities that would release the burden on just one person (Don) running it, and also enable other board members to edit and post stuff.
- Aja and Jenn said the Web Committee would be responsible for the website, including building it, creating content, and posting material. We can choose to have videos, blogs, etc. which can be discussed later. Bill, Jenn, and Aja volunteered to be on the Web Committee.
- Bruce said we should ensure that any images, especially from the Red Book, are under the Fair Use Act and are being used without violating any copyright laws.
- Aja said she can have the content in the new website ready to go by Sunday next week so as to be in time for registration for Dr Bedi’s event. When the Weebly sale comes up, she could purchase the website and later transfer archived material that Don posted on the old website.
- Don said we pay about $350 per year for the current website; the domain is paid for until October. Aja said she is able to have the new website up by September 30th.
- The Web Committee can get membership list from Zoho, Don will continue to do the monthly email reminders.
- Membership errors and credit cards that have been declined need to be reported to Aja; Z suggested that Don let Aja know what to look out for as she starts the new website.
- Bruce said Square charges a fee for credit card purchases and asked Aja to check the percentage that’s being charged. Bruce said it’s also important to find out what is the cost of integration.
- Don said we can use Square, Stripe or PayPal to make credit card payments on the new website. Bruce said Square has a link to Quickbooks so that Don does not have to manually put in the credit card payments in Quickbooks. They charge about $3% for credit card processing.
- Bruce suggested that we not rush into paying out more money for a new website when we’re already in the hole. Perhaps we can cut costs by modernizing the existing website, depending on whether it can be updated, and whether Don is willing to spend the extra time to do it.
- Cathy suggested that Don on the one hand, and Aja and Bruce on the other, do a write-up on the budget costs of running each of the websites so that there is a clear way to compare the budget. It should be ready by 8/4/2019 so that we can have the next registration for events ready on time. Don, Aja, and Bruce agreed to have it ready by then.
CEUs
- Cathy suggested mailing our programs on brochures to new people (non-members) on the Georgia LPC list. Don says he could do it at a cost of about $2,500-$3,000.
- Bruce suggested we put “CEU opportunities available” prominently on the brochure cover to ensure that people actually open and read it.
- Bruce said getting people within a two-hour radius from Atlanta would probably yield good results. Don said he’ll target cities and towns around Atlanta.
Nominating Committee
- Bruce and Peggy volunteered to be part of the nominating committee; nominations will be in November.
Membership: Bruce
- Cathy will write a list of people who can come to events for free, e.g. members of the advisory board, and will talk to Van to make sure all who should pay for events do so.
- Don said membership cards would be a good idea. Jay could make them, and we can have a back-up list on hand in case members lose their cards.
Mailbox
- Cathy said that the mailbox is expensive at $400 per year. The box number changes every time there’s a new president because it requires a new registration with the new president each time, which is a hassle. Deb suggested that a person other than the president register the mailbox in their name to solve this problem.
There being no other business, the board adjourned at 5:35 pm. The date for the next board meeting was set for September 29th, 2-5 pm.
On 8/10/19, upon consensus from all board members, the date for the next board meeting was changed to 11/3/19, 2-5pm.
