Board Meeting

  • Cathy lit a candle and called the meeting to order at 2:19 pm.
  • Cathy asked if there were any changes to the previous minutes from 7/21/19. Deborah presented some changes from the previous minutes, which were recorded accordingly by Nyambura. Board members said there were no other changes. Cathy made a motion to approve the minutes for 7/21/19, Z seconded. Minutes were approved by all board members with current changes.

Budget: Don 

  • Don presented the budget and noted that the November workshop has not been included yet, so there may be an increase in income by then.
  • Don said our workshop income is far short of what was projected, partly due to the May workshop on Toxic Masculinity and the Tarnas event, both of which lost money. Van said it was likely because there were no CEUs for the Tarnas event.
  • Don said he feels the extra cost of printing and mailing brochures to LPCs did not pay off financially. Cathy said it was unfair to judge that on only one workshop.
  • Don said we need to make more money. We have taken about $6,000 from Vanguard into our checking account this year. This is our worst year ever in terms of our deficit. Possible reasons: the expense of mailing postcards to LPCs ($2,500), the $1,000 donation to the Link, and the fact that Hollis is not coming this year.
  • Don will check if Elizabeth Nelson reimbursed us for her extra night hotel stay. Deborah said she believes the amount was reimbursed into our PayPal account.
  • We broke even with the Bedi event in September. 
  • JSA checking account balance is $1676.50. Don said he will need to move some money from Vanguard to our checking account. Vanguard holdings are $49,667.12, roughly split between stocks and bonds. 
  • Deborah made a motion to accept our budget, Van seconded, all members voted in favor.

Attendance: Don

  • Cathy felt that our location in Sandy Springs is a disadvantage on Friday nights because of traffic, which leads to low attendance.
  • Don said we need to make more money for workshops; if workshop attendance is less than 30 people, we lose money.
  • Bruce suggested we look at previous workshop topics from years past and see what brings more interest and people.

Programs: Deborah

2019 Programs:

  • Cathy will introduce Virginia Apperson, Z will introduce Tess in November. 
  • Tess will arrive at 2:45 pm on a Friday. Mahshid offered to pick her up and take her back to the airport Sunday morning. Deborah will send Mahshid an email/text with all the information. 
  • Cathy suggested we increase the size of our program committee and make efforts to provide more social media information to promote our programs and make them more accessible for people who are new to Jung. 
  • Deb moved a motion to expand the existing program committee to assist with programming, Van seconded, all were in favor.

2020 Programs:

  • Nyambura will introduce Kathleen Wiley on 1/25/2020, a Saturday night lecture. 
  • Kathleen has offered to do a small experiential group the following day, Sunday, from 9am – 1pm, titled “Connecting to our Body/Mind”, for 10-12 people on a first come first served basis at $100-120 each, totaling $1,200. We need to get people to pre-register and reserve spots. 
  • Bruce and Deb suggested that we use Kathleen’s experiential group as a CEU workshop because it would be great for therapists. However, Cathy mentioned some barriers, like inability to predict how many will actually attend, and renting an adequate room for the location. Cathy said that renting a large room at The Link might bring up the cost of this event. Cathy will find out the cost for renting the room.
  • Deborah will continue to discuss this event with Kathleen and find out how much space she needs; perhaps we can use our regular meeting room at The Link. 
  • Cathy suggested that Deborah announce Kathleen’s experiential group event in the November meeting and request that folks interested pay early to book their place. Deborah said we could send a special email for this.
  • February 15th meeting will be a performance from Out of Hand Theater, a show titled “Conceal and Carry” about gun violence and school shootings. Normal price is $1,000 but Deb negotiated for the “friend’s price” of $800+$350 (for Katie as presenter/facilitator) = $1,150. We may be able to get a donation to cover the price. Deborah felt we could just ask members to pay for the performance; Don suggested about $15 for members and $20 for non-members. Deborah will ask Katie to do the write-up so that it is appropriate/neutral and does not turn people off.
  • Catherine Meeks from the Center of Racial Healing proposes that we partner with Fanny Brewster, a Jungian Analyst, to come present a lecture/workshop for CEUs in September 2020.  She would be flown in from NY. Her honorarium would be $2500-3000, which is higher than we usually pay. The Center of Racial Healing would pay half. Deborah will try to talk her into doing it at a lower price. Don said our current venue accommodates 120 people, but we can go upstairs if we get more folks coming to this event.
  • Nyambura and Deb said it would be great to make this event happen because we would be highlighting topical content on racial justice, and a speaker of color in the Jung community.
  • All board members voted in favor of Kathleen’s event, the theater performance, and the Fanny Brewster lecture.

Media/Publicity/Books

Website: Don

  • Don presented an update on possible website features and ideas.
  • Cathy said she looked at other Jung Society websites and website providers, and thanked Bill, Aja, Jenn and Bruce for their additional input on ideas for our website. She suggested that board members check out websites like the Washington and Oregon Jung Society websites. Bruce said he likes the various options available on these websites.
  • Don agreed and added that the Chicago, Seattle, and Houston Jung Society websites have great features for programs and audios. He said it would be nice to have membership portals on our website; it would be more automated and less work to follow up on people’s payments. The Oregon Jung Society has this function. Don said our audios from lectures would be a great source of income and it would be worthwhile to look into selling them, e.g. by partnering with the Washington Jung Society. Perhaps Van could do write-ups on our lectures to highlight their clinical/Jungian content. Cathy said we could also add our library as a resource. 
  • We would need to charge for live streaming lectures. Bruce said live streaming would be great, especially for people from out of town. Mahshid said we could suggest a donation for people to access the audios on the website. Don said Wix can do something similar in the form of a monthly subscription.
  • Don said Wix provides most of what we want; it would take up to 3 months to set it all up. Cathy asked what Don needs and whether he could use help from other board members. Could it be ready by February 1st? Don said this is possible; he could do a prototype while keeping our old website running. Nyambura said her husband does websites and could help look it over if needed.
  • Cathy called a vote to give Don the OK to use Wix as a platform to modernize our website. Z seconded, all members voted in favor.

Mailing/Printing Postcards: Don

  • Don said that at $2,500, it was too expensive to mail postcards, since LPCs did not show up. Mostly just members attended, only 3 non-members came. Don says the printing was not expensive but the mailing was, and this hurt us financially.
  • Don said he would do another postcard mailing with Hollis and Campbell events, and the theater production, by January 1st.

Publicity: Aja

  • Aja said posting on Instagram is a great idea and explained that if something is posted on Instagram, it will show on Facebook but not vice versa.

Books: Deb

  • Deb said that books continue to make money, especially from the Decatur Book Festival.
  • Deb said ordering books at least a month ahead of time is a good strategy to promote the upcoming speaker.
  • Deb said we could thin out the inventory, so we could get fewer books to display which may increase purchases.
  • Deb will be present at the book table in November but not in December. Z will ask Regina if she is able to help with books. 

Food: Mahshid

  • Cathy thanked Mahshid for the food table. Nyambura said she has received positive feedback from attendees about the food offered. 
  • Nyambura offered to do coffee when she is available, and Z will get a volunteer like Regina to help at other times.
  • Mahshid, Peggy, Deb, and Nyambura will not be at the December meeting. Cover will be needed.

Decatur Book Festival: Z

  • Z said the Decatur Book Festival was a great success and provided good exposure and visibility for the society. There was a lot of foot traffic and interest. She said it was a perfect location and they sold enough books to cover the cost of the booth.
  • Z said we should continue participating in the Decatur Book Festival; however, she requested participation from other board members so that the work of manning the tables for the two days can be spread out in shifts among more people. 

CEUs: Van

  • Van said Tarnas lecture was low on attendance because no CEUs were offered.

Membership: Bruce 

  • Bruce said we have only one new member, who won the membership from the Decatur Book Festival. People have not yet renewed their memberships.
  • Bruce needs a list of non-members and their emails; he suggested we create a form for this, and asked that we ensure emails are legible.
  • Cathy said our advisory board and Gene, The Link’s director, can attend our events for free. All the analysts, however, should pay for our events.
  • Our membership rates will not increase. Don said we should push membership so that folks who sign up now can get November and December free.
  • Don will use the member list to send invites to folks to sign up and renew their memberships.

Library/Inter-Regional Society of Jungian Analysts (IRSJA): Peggy 

  • The small Red Book and a couple of other books are missing from the library. Peggy will try to track them and have them returned.
  • Peggy reported that the Inter-Regional website is not current; Peggy and Cathy suggested we do a write up on our website with information about Inter Regional.
  • Cathy and Peggy suggested we find ways to engage and involve our local analysts in our events and in providing information about the activities of the Inter-Regional Society.

 There being no other business, the board adjourned at 5:23 pm. The next meeting is the January retreat on 1/12/2020 from 1-6pm.

Board Meeting

  • Cathy called the meeting to order at 2:05 pm.
  • Cathy thanked Nyambura for introducing Jutta at the lecture yesterday, and thanked the other board members for showing up and helping out at the event.
  • Nyambura asked whether there were any changes to be made to the previous minutes from 4/14/19. Board members said there were no changes. Z made a motion to approve the minutes for 4/14/19, Peggy seconded. All were in favor. April minutes were approved with no changes.

Budget: Don 

  • Don reported that membership is good but everything else looks bad; he added that he did not budget the Decatur Book Festival.
  • We have a negative balance and we’re not making as much on books as expected. Perhaps we’re not getting as many discounts on books as we used to? Don felt that the $1000 donation to The Link contributed to the loss.
  • Bill said we’re getting 40% discount on books, but we may have too much stock, and perhaps shipping costs are also to blame. Bill said he returned Trump books because they didn’t sell. 
  • Deb said we’re selling the I Ching books and coins at a good profit.
  • Don said we lost money due to lack of income from workshops, e.g. we expected more from the Tarnas workshop. 
  • Don said we may have to revisit what we pay our speakers since that hasn’t been reviewed in a while.
  • Don said we pay about $650 per year for Quickbooks, which is costly, but it would be a pain to change it.
  • Cathy said we could pay a standard stipend to the speakers rather than pay for their travel costs, so as to decrease expenses, e.g. Sharon Martin’s air ticket was expensive because she bought her ticket late. 
  • JSA’s current account balance $-6,279; Vanguard balance is 52,985.70.
  • Deborah made a motion to approve the treasurer’s report. Cathy seconded it. The board approved the treasurer’s report.

Programs: Deborah

  • Deborah updated the board on programs for 2019 and 2020.
  • Deb Herberger volunteered to introduce Lissa Friedman.
  • Jenn will introduce Ashok Bedi. He and his wife will stay at the Sheraton. Deborah clarified that we pay for the expenses for his hotel room and meal but not for his wife, who travels with him.
  • Cathy suggested asking volunteers like Regina to introduce speakers. Z said she’ll look into it.
  • Aja will introduce Virginia Apperson; Bruce will introduce John Gentile.
  • Deborah said several people are asking for Elizabeth Nelson to come back for a workshop on “Shadow Vows”. Bruce said we could create a good description/wording of the event so as to pull people in and get CEUs for it. 
  • Monika Whitman may come in September; we need possible topics. Deborah will look into her website and will share a write-up with the board.
  • Jenn will get a description of the shame workshop from David Bedrick. Cathy said this is a clinical topic so there shouldn’t be a problem with CEUs.
  • Cathy asked to have the description of the three speakers’ events (Monika Whitman, Elizabeth Nelson, David Bedrick) so she can email them to the board.
  • Cathy said these speakers are coming from the West Coast so travel expenses will be higher.
  • Kathleen Wiley is coming in January 2020; she offered to do a small group on Sunday for people who would like to go deeper on the topic of Jungian psychology and the body. We could use The Link as a venue for that event. 
  • Deborah said speakers for lectures are harder to get than for workshops, and suggested looking into increasing the honorarium, which is currently quite low.

Media/Publicity/Books: Bill (via phone)

  • Bill said he will order the Enneagram book when he makes the big order for Decatur Book Festival. 
  • Bill wondered how to add customers’ emails on the payment transaction so that they can get receipts when they use their credit cards to purchase items; they don’t like to type in their emails each time. Is there a setting that captures their email? Don said he thought it should do so automatically. Jenn said she’ll test it.

Decatur Book Festival: Jenn and Z

  • Decatur Book Festival is on Labor Day weekend, Saturday August 31st and Sunday September 1st. Jenn said she has a whole box of books to sell and shared a list of books to purchase for the festival; the budget for just the books is $233.11..
  • Jenn asked if we have Pete Williams’ primers, Cathy said we could make copies for the festival. It was decided that 15 copies would suffice.
  • Bruce said June Singer’s Boundaries of the Soul and Murray Stein’s Jung’s Map of the Soul are great classics and primers. Bill said he can make sure those are in the selection, but he’s mostly trying to get cheaper books that sell better. 
  • Jenn said we sold about 23 books last year, which made $370.
  • Z and Jenn displayed the tablecloth for the festival, all board members liked and approved it for use at the festival.
  • We need to print 100 pages of the Jung Society brochures and 600 bookmarks. Z asked Deborah if she can have the programs for 2020 on the bookmarks, listed by topic and month, since event dates are not all confirmed yet.
  • Aja, Jenn, and Z volunteered to be present at the festival. They will purchase a cart ($50) to help them move things around.
  • Jenn said the budget for the festival comes up to around $275, including bookmarks, tablecloth, brochure copies, etc. Cathy called for a vote to approve this amount. All members were in favor. Board approved $275 for the festival.

Publicity: Aja

  • Aja said she will connect Twitter, Instagram and Facebook accounts so that information posted on one platform appears on all. 
  • Bill said he boosts Facebook events for $45-$50 for Hollis, but less for other speakers.
  • Jenn said Facebook brings the largest number of people to our events but the language we use to advertise our programs can turn people away, e.g. people didn’t like the topic “Toxic Masculinity”. “Fierce Feminine” was a better title.
  • Aja and Jenn suggested adjusting the wording/ language of the workshops before posting so as not to turn off potential attendees. Deb suggested that the Web Committee consult together before workshops so as to review descriptions and wording and edit accordingly.
  • Bill said he will look at people’s interests, demographics, age, etc. and see what settings could bring in the most number of people to our events.
  • Information about Enneagrams could be forwarded to churches or people on Facebook who have listed Enneagram as an interest. 
  • Aja has set up a trial website: jungatlanta.weebly.com at the cost of $99 per year with the current discount. A 2-year contract at full price is $504 ($21/month). Aja will find out if she can get a non-profit discount.
  • Aja said this new website has a lot of capabilities that would release the burden on just one person (Don) running it, and also enable other board members to edit and post stuff.  
  • Aja and Jenn said the Web Committee would be responsible for the website, including building it, creating content, and posting material. We can choose to have videos, blogs, etc. which can be discussed later. Bill, Jenn, and Aja volunteered to be on the Web Committee.
  • Bruce said we should ensure that any images, especially from the Red Book, are under the Fair Use Act and are being used without violating any copyright laws.
  • Aja said she can have the content in the new website ready to go by Sunday next week so as to be in time for registration for Dr Bedi’s event. When the Weebly sale comes up, she could purchase the website and later transfer archived material that Don posted on the old website.
  • Don said we pay about $350 per year for the current website; the domain is paid for until October. Aja said she is able to have the new website up by September 30th.
  • The Web Committee can get membership list from Zoho, Don will continue to do the monthly email reminders.
  • Membership errors and credit cards that have been declined need to be reported to Aja; Z suggested that Don let Aja know what to look out for as she starts the new website.
  • Bruce said Square charges a fee for credit card purchases and asked Aja to check the percentage that’s being charged. Bruce said it’s also important to find out what is the cost of integration.
  • Don said we can use Square, Stripe or PayPal to make credit card payments on the new website. Bruce said Square has a link to Quickbooks so that Don does not have to manually put in the credit card payments in Quickbooks. They charge about $3% for credit card processing. 
  • Bruce suggested that we not rush into paying out more money for a new website when we’re already in the hole. Perhaps we can cut costs by modernizing the existing website, depending on whether it can be updated, and whether Don is willing to spend the extra time to do it. 
  • Cathy suggested that Don on the one hand, and Aja and Bruce on the other, do a write-up on the budget costs of running each of the websites so that there is a clear way to compare the budget. It should be ready by 8/4/2019 so that we can have the next registration for events ready on time. Don, Aja, and Bruce agreed to have it ready by then.

CEUs

  • Cathy suggested mailing our programs on brochures to new people (non-members) on the Georgia LPC list. Don says he could do it at a cost of about $2,500-$3,000. 
  • Bruce suggested we put “CEU opportunities available” prominently on the brochure cover to ensure that people actually open and read it.
  • Bruce said getting people within a two-hour radius from Atlanta would probably yield good results. Don said he’ll target cities and towns around Atlanta.

Nominating Committee 

  • Bruce and Peggy volunteered to be part of the nominating committee; nominations will be in November. 

Membership: Bruce 

  • Cathy will write a list of people who can come to events for free, e.g. members of the advisory board, and will talk to Van to make sure all who should pay for events do so.
  • Don said membership cards would be a good idea. Jay could make them, and we can have a back-up list on hand in case members lose their cards. 

Mailbox 

  • Cathy said that the mailbox is expensive at $400 per year. The box number changes every time there’s a new president because it requires a new registration with the new president each time, which is a hassle. Deb suggested that a person other than the president register the mailbox in their name to solve this problem. 

There being no other business, the board adjourned at 5:35 pm. The date for the next board meeting was set for September 29th, 2-5 pm.  

On 8/10/19, upon consensus from all board members, the date for the next board meeting was changed to 11/3/19, 2-5pm.

12/7/19 – Jung Society of Atlanta Business Meeting at Sandy Springs Christian Church

Following the nominating committee’s request for a one month extension, Cathy Shepherd called a business meeting on 12/7/19 for the purpose of electing the 2020 election officers. Z presented the slate of officers at the meeting to members and called for a vote. The officers were: President – Cathy Shepherd, Vice President –  Regina Mowrer, Secretary – Nyambura Kihato. The slate of officers was accepted. 

The business meeting was adjourned.
